The System Office seeks a Business Continuity Planning Specialist to independently perform a variety of complex technical and functional duties in System Offices Shared Services (SOSS), Operations Support. This position is expected to observe standards of professional conduct and to strive for excellence in customer service including, but not limited to accepting accountability and ownership of actions; adapting to and accepting new challenges and responsibilities; focusing on Business Continuity Planning (BCP), and providing prompt, professional, quality, and value-added planning, and communication across university system units. They will work collaboratively with employees and units to provide shared services Business Continuity Planning (BCP) support to System Offices units. They will be responsible for Business Continuity Planning Program management. Will serve as the primary point of Contact for BCP Unit Liaisons.  This position will be hybrid.

Additional responsibilities include:

  1. Serves as the University of Illinois System Offices Shared Services (SOSS) Business Continuity Planning Operations Specialist (BCP) and is responsible for administering and monitoring the Business Continuity Program for System Offices units, including participating and representing the organization in Disaster Recovery tabletops. 
  2. Special projects appropriate for a Shared Services System Offices Operations Support Specialist. This position will also undergo full cross-training in order to serve as a unit backup for Department Card Management activities, Unit Security Coordinator responsibilities, and equipment management for SOSS customers. Additionally, this position will assist with daily transactional processing (procurement, travel arrangement, expense report creation, event planning, administrative support, and financial statement reporting. 
  3. Ensures Business Continuity Plans are current, reviewed, and updated when entered in applicable software systems. 
  4. Conducts Business Risk Analysis (BIAs) and Risk Assessments with System Offices units on essential business functions and disruptions and facilitates BCP tabletops within System Offices units. 
  5. Able to develop, present, and deliver business continuity plan training and materials for System Offices units. 
  6. Writes analysis summarizing plans, results, disruptions, testing, and recommendations. 
  7. Works with and is a liaison to the Business Continuity Steering Committee and other System Offices units to implement standards and policies. 
  8. Notifies units of disruptions and acts as a contact liaison between all teams. 

Education:

Required: Bachelor's degree with a major in business administration, management, accounting, finance, or a related field.

 

Experience:

Required: Two (2) years of professional business, financial, and/or managerial work experience.

 

Preferred: Two years of Business Continuity experience.

 

Certifications:

Preferred: Associate Business Continuity Professional (ABCP) & other BCP certifications.

 

Knowledge, Skills, and Abilities:

  1. Excellent organizational, communication, management, and supervision skills. Interpersonal skills that reflect professionalism, courtesy, diplomacy, and a collaborative approach to develop and maintain effective work relationships.
  2. Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and One Note.
  3. Ability to work independently and exercise good judgment and discretion in the performance of projects and assignment. Ability and willingness to perform at consistently high levels and to demonstrate initiative in the performance of duties.
  4. Detail-oriented and able to coordinate multiple projects with competing priorities.
  5. Excellent teamwork skills and the willingness to collaborate in a team environment on various projects.
  6. Familiarity with the Business and Financial Policies and Procedures Manual of the University of Illinois, and State of Illinois and University procurement statutes, regulations and procedures and Federal regulations related to payment processing.

This is a full-time Civil Service Business Administrative Associate position appointed on a 12 month service basis. The expected start date is as soon as possible after July 5, 2022. Salary is commensurate with experience.
