The System Office seeks a Coordinator, Records and Information Services (RIMS) to engage with personnel from all functional areas of business for the University including but not limited to HR, Finance, Utilities, Facilities, Academics, and Research. Work includes initiating a variety of records management activities such as supervising inventory and disposal projects, assisting in developing and delivering training materials supporting web-based resources, and routinely responding to inquiries. As needed, RIMS Coordinator also supports information management activities working with other IT and administrative professionals to improve and streamline business processes associated with the management of born-digital as well as paper-based information assets.  This job will be Hybrid.  

 

 


1. Support communications directed to departments about best practices regarding information generation, storage, inventory, management, and disposition. 
2. Work directly with units to support the disposal or archiving of records and other information assets in compliance with legal and regulatory requirements. 
3. Assist with developing and delivering training programs, seminars, and presentations. 
4. Work closely with colleagues in support of best practices and procedures documentation.
5. Assist in the identification of and transfer to archival custody, records having enduring value. 
6. Provide direct oversight for large departmental projects related to records and information management organization and access.
7. Provide supervision and oversight for student personnel and perform other duties and responsibilities as appropriate for a Records and Information Management Services Coordinator.

 

Education and Experience Required:

  1.  
    • Bachelor's degree in business administration or administrative sciences
      OR
    • three years of experience in the administration and management of records systems
      OR
    • any combination of (i) college training in administrative sciences or business administration and (ii) experience in records systems management and micrographics that totals three years
  2. two years of experience in the administration and management of records systems


 

Education and Experience Preferred:
1. Master's degree or advanced degree with a concentration in library and information science, the management and organization of information assets, business information systems, communications, or information technology
2. Advanced training or demonstrated experience in Records and Information Management, Business Process Improvement, Project Management, and/or Electronic Records
3. Experience working in the environment of health services, facilities and utilities, libraries and archives, state government, or with large research-based organizations.
4. Experience with electronic records management systems, electronic document management systems, document imaging, or enterprise database systems.

5. Experience working with records and information resources or with archives in state government or higher education.

Certifications Preferred:

1. ICRM Certified Records Manager
2. Certification by the Academy of Certified Archivists
3. Project Management Certification

 

Knowledge Skills and Abilities:
1. Working knowledge and understanding of basic records and information management functions and the role of records in supporting accountability and transparency in business processes.

2. Demonstrated knowledge of, or experience in, identifying the relative value of records, with a particular understanding of records of enduring or archival value.

3. Strong analytical and problem-solving skills and demonstrated ability to successfully exercise independent judgment.

4. Demonstrated strong organizational skills with attention to detail and ability to meet deadlines.

5. Excellent verbal and written communication skills, including ability to interact professionally with a diverse group of executives, managers, and subject matter experts.

6. Strong computer skills with Microsoft Office products, particularly Excel, PowerPoint, and Word.

7. Knowledge of issues related to managing research data in a university environment.

 

SALARY AND APPOINTMENT INFORMATION
This is a full-time Civil Service Records Management Officer position appointed on a 6 month service basis. The expected start date is as soon as possible after May 26th, 2022. Salary is commensurate with experience.
