University Payroll & Benefits seeks a Payroll Specialist I to assist with daily operations within Fiscal Control & Management for University Payroll & Benefits and serve as a subject matter expert on Fiscal Control & Management processes.

  • Process Payroll related HRFE transactions to ensure proper deduction setup. Assist in processing retroactive and refund transactions for statutory deductions resulting from errors in deduction setup. Prepare W-2c's as needed in JAT application to ensure Federal and State compliance of taxable wages and withholding. (35%)
  •  
  • Identify and monitor deductions needed for retroactive SURS or FICA withholding and pay loans as needed. Reconcile SURS deductions with SURS payment amount to ensure proper collection and payment of SURS deductions. Process adjustments to SURS contribution file and employee records prior to SURS payment being made. (20%)

  • Responsible for W2, W2C and 1042 reporting activities that include timely and accurate tax payments to IRS and state agencies along with compilation, reconciliation, and submission of the University's quarterly and annual returns to state and federal agencies. (10%)

  • Coordinate with various internal/external offices and Subject Matter Experts to maintain accurate information for processing and reporting of UPB information; identify and work with Systems to enhance UPB applications to meet compliance requirements and increase process efficiencies. (10%)

  • Liaison with various agencies (specifically SURS) to ensure proper deductions are withheld. (10%)
  •  
  • Work with University Accounting and Financial Reporting (UAFR) in reconciling various deductions taken and bank statements to the general ledger on a monthly basis. Prepare authorization to pay (e.g., individual vouchers, direct deposit authorization, etc.) for agency payments, and submit to University Accounts Payable or Cash Management for payment. (5%)

  • Responsible for balancing and releasing pay data including check print file and direct deposit totals. (5%)

  • Serve as an internal resource to handle payroll-related inquiries via Case Management System, which requires knowledge about university and departmental payroll policies and procedures to ensure accurate responses are provided in a timely manner, and/or that inquiries are routed to appropriate departmental officials/staff for action. (5%)

Minimum Qualifications:

1. One year of experience comparable to Payroll Clerk (Level 1)

OR

One year of vocational training in a related business curriculum (such as accounting, business administration, finance, economics, or management sciences)

OR

12 semester hours in a related business curriculum (such as accounting, business administration, finance, economics, or management sciences)

OR

30 semester hours of college course work in any field OR Any combination of the above totaling one year.

 

Preferred Qualifications:

  • Knowledge about standard office procedures, to facilitate payroll activities and perform related payroll functions.
  • Knowledge about state and federal laws applicable to payroll operations to ensure assigned duties are performed in compliance with established guidelines and regulations.
  • Ability to work independently and in a team environment.
  • Computer skills to perform duties and responsibilities proficiently using Microsoft programs including Word, Excel, Access, Outlook, and Internet Explorer.
  • Excellent keyboarding, grammar, and proofreading skills, with strong emphasis on accuracy and application of data entry standards established to complete detail-oriented work in a timely manner.
  • Proficiency with office equipment including calculators, photocopiers, printers, digital scanners, and facsimile machines.
  • Excellent verbal and written communications skills to effectively communicate with university, departmental, and other internal/external groups.
  • Strong interpersonal skills to establish and maintain good working relationships.
